Getting started and access

What RClock is, how to access it, and what you need to get started.

What is RClock?

RClock is a time-tracking and personnel management platform developed by Rsystems Software. It allows you to centralise clock-ins, breaks, schedules, incidents and information about employees' working hours.

You can explore its features on the features page .

How can we start using RClock at our company?

You can request a demonstration so we can show you the platform and discuss your team's needs. We'll advise you on the plan and configuration based on the number of users and how your company operates.

I'm an employee: where can I find my login details?

Ask the person responsible for managing RClock at your company for your login details and access instructions. They can tell you which environment to use and how to sign in.

Which devices can I use to access RClock?

RClock can be used on a computer, tablet or mobile phone. Your company can also provide shared terminals to record working hours from a common clock-in point.

The way you access it will depend on the configuration used by your company.

Do I have to use my personal mobile phone to clock in?

RClock offers alternatives to using a personal mobile phone. Your company can install a tablet or shared terminal so employees can record their clock-ins, clock-outs and breaks.

Check with your company which time-tracking system is in place.

Where can I download the app?

On the RClock downloads page you'll find links to the App Store for iPhone and iPad, and to Google Play for Android devices.

What should I do if I can't access RClock?

Check that you're using the login details and access environment provided by your company. If the problem persists, contact the person responsible for RClock.

For technical enquiries, you can also email info@rclock.cat or call 972 106 097.

Everyday use of RClock

Clock-ins, breaks
and incidents

How to record working hours, manage breaks and report day-to-day incidents.

How do I clock in and out?

Access RClock using the system set up by your company and clock in when you start your working day. When you finish, clock out.

If you use a shared terminal, identify yourself first and select the relevant action on the screen.

How are breaks and rest periods recorded?

Select the "Start break" option when you begin your break, and end it using the corresponding option when you return. Follow your company's instructions on which breaks you need to record.

Can we clock in and out for breaks using a tablet in the canteen?

Yes. Your company can install shared clock-in points in break areas or canteens, in addition to terminals located at entrances.

Employees identify themselves at the terminal and record their break according to the clock-in point's configuration.

What should I do if I forget to clock in or out?

Inform the person responsible for RClock at your company. Provide the date, the actual clock-in or clock-out time, and the reason you forgot to record it so they can review the record and tell you what to do next.

What should I do if I record an action by mistake?

Contact the person who manages time tracking at your company. Explain which action you recorded and what should have been recorded instead.

Avoid making additional clock-ins or clock-outs to try to correct the mistake without first checking how to fix it.

How can I report an incident related to my working day?

RClock provides options for reporting incidents related to working hours. Use the option available in your environment and explain what happened.

If you cannot find this option, contact the person responsible for RClock at your company.

Can I use RClock when working remotely?

Yes. RClock allows you to distinguish between on-site and remote clock-ins. How you record remote work will depend on your company's configuration and instructions.

Where can I check my clock-in records?

Check the activity or records section available in your RClock environment. The information you can view depends on your profile and the permissions configured by your company.

If you need to review a record that is not available to you, ask the person responsible for time tracking for help.

Shared clock-in points

Tablets, terminals
and RFID/PIN identification

Find answers to your questions about clocking in using a shared terminal at company entrances, canteens or rest areas.

Can we install a tablet at the entrance for clocking in?

Yes. RClock provides a shared clock-in system that allows employees to identify themselves and record their working-day activities using a tablet or shared terminal.

You can see an example in the clock-in terminals section.

How does each employee identify themselves at the terminal?

Depending on the clock-in point's configuration, employees can identify themselves using an RFID card or a PIN. They can then select the appropriate action on the screen.

What is the difference between clocking in with RFID and with a PIN?

With RFID, employees hold their card up to the reader configured on the terminal. With a PIN, they enter their code using the on-screen keypad.

Your company will tell you which method you should use.

Can several terminals be installed at the same company?

Yes. Clock-in points can be installed wherever they are needed, such as at different entrances, rest areas or canteens, with all records centralised in RClock.

Ask us about the most suitable configuration based on your entrances, locations and the number of people on your team.

Which actions can be recorded using the tablet?

The terminal allows employees to record clock-ins, clock-outs and breaks. The available actions are displayed according to the employee's status and the clock-in point's configuration.

Does each employee need a mobile phone?

Employees do not need to use their personal mobile phones to clock in through a shared terminal. They identify themselves using the device installed by the company and the configured identification method.

Will any tablet, reader or RFID card work?

Compatibility must be confirmed before choosing the devices. Ask our team which terminal, reader and card type are suitable for the installation you need.

If you already have equipment, tell us the models so we can assess them.

Are the tablet and reader included in the plan price?

The published prices cover the use of the RClock platform. To find out the cost of the devices and their installation or configuration, request a quote and indicate how many clock-in points you need.

What should I do if the terminal does not recognise my card or PIN?

Check that you are using the card or PIN assigned by your company. If you cannot identify yourself, notify the person responsible for RClock so they can check your access and tell you how to record your working day.
